Meeting and Event Spaces
In alignment with its mission, vision, and values, the Springfield-Greene County Library District offers a variety of meeting spaces that can be reserved at no cost, as well as meeting and event spaces that can be rented for a fee.
Types of Spaces
The Library District offers the following types of meeting and event spaces that may be reserved in advance, which are subject to availability and Library guidelines:
Study Rooms are small rooms designed for individual use or use by up to two people. These rooms are available at no cost.
Conference Rooms are intended for small group meetings and collaborative work. These rooms are available at no cost.
Community Rooms are larger spaces that can accommodate groups ranging from 20 to 150 people. These rooms may be reserved at no cost for public meetings and events that meet policy requirements. Patrons may also inquire about availability for fee-based reservations for community room uses such as private events or commercial activities, subject to approval and rules.
Hatch Auditorium is a unique venue that can accommodate up to 500 people and offers additional amenities and options for staff assistance. Use of this space is subject to applicable fees and requires a signed contract outlining the terms of use and responsibilities.

FAQs
How do I book a library meeting room?
Meeting room requests may be submitted in person, over the phone, or online.
If you are interested in a fee-based reservation, please email our event space staff at eventspaces@thelibrary.org.
How often can I book a library meeting room?
Reservation limitations apply as follows:
Community Rooms can be booked up to 90 days in advance of the current date for up to 8 hours a day. They can be booked up to twice in one month, including one weekend per month.
Conference Rooms can be booked up to 90 days in advance of the current date for up to 4 hours a day. There is no cap on the number of reservations allowed per month.
Study Rooms can be booked up to 90 days in advance of the current date for up to 4 hours a day. There is no cap on the number of reservations allowed per month.

What if I'm running late?
If you have not arrived within 30 minutes of the scheduled start time for your Community Room reservation, your reservation will be canceled.
If you have not arrived within 15 minutes of the scheduled start time for your Study Room or Conference Room reservation, your reservation will be canceled.
If you are running late and need special consideration, please call the library to see if we can adjust your reservation.
The Library may refuse future reservations to individuals and groups who consistently fail to appear for their reservations or who do not abide by Library policies.
What if I need to cancel a reservation?
Please alert the library branch staff as soon as possible if you need to cancel a reservation. You can do this through Reserve or by calling the library branch. The Library reserves the right to refuse future bookings to groups that consistently fail to appear on scheduled meeting dates.
Can I have a party at the library?
Personal events such as birthday parties, baby showers, bridal showers, and family reunions may only take place in certain spaces and require a fee. For more information on fee-based reservations, please visit our website or contact our Event Spaces staff at eventspaces@thelibrary.org.
Can my business use a community room for a staff meeting or staff training?
Yes, businesses may book community rooms for internal meetings or trainings at no cost. Note that when utilizing Library community rooms for free, Library policy requires that events be considered open to the public, except that a public governmental body may hold a closed session pursuant to the provisions of RSMo 610. Alternatively, you may book a private event in select library community rooms for a fee.
Can I use a room to sell products or services?
Business public information seminars, events charging admission, and the soliciting of products or services not directly connected with the Library may only take place in certain spaces and require a fee. Please visit our website or contact our Event Spaces staff at eventspaces@thelibrary.org for more information about fee-based reservations.
Who sets up the room?
Groups or individuals will be responsible for setup and cleanup of spaces, except in the Hatch Auditorium. Please plan for setup time when making your reservation. The Library will neither store items nor receive deliveries for groups or individuals using any Library space. The Library is not responsible for damage to, or loss of, personal items used at or left in Library spaces.
Can I bring food?
Light refreshments are permitted in Library Study Rooms, Conference Rooms, and Community Rooms. Meals may be served in all Library Community Rooms. Patrons are responsible for clean up.
Alcoholic beverages may not be served.
What if my group isn't finished by closing?
All meetings scheduled in library buildings must be completed by closing time.
Do Library spaces have audiovisual equipment available?
Most community and conference rooms have equipment available such as computers and basic audiovisual presentation equipment. Check with the branch or in Reserve for details on other equipment available for specific spaces.
